Why We Switched to Google Workspace for Real Estate Agents

What happens when the technology behind your brokerage starts creating more steps than it solves?

At CrossView Realty, we recently moved from Microsoft 365 and Outlook to Google Workspace for real estate agents because we wanted our everyday systems to connect more naturally. We’ve only been fully moved over for about a week, but we’re already seeing easier sharing, better calendar management, smoother connections between systems, and fewer pieces of technology competing with each other.

Why Google Workspace for Real Estate Agents Made Sense for Us

This move was a long time coming.

Microsoft served us for years, so this wasn’t a matter of waking up one morning and deciding everything we had was terrible. It wasn’t. But technology changes, our brokerage changes, and the systems our agents use change too.

And at some point, you have to ask whether the technology you’re using today is helping you stay ready for where your business is going tomorrow.

We were finding that more of the platforms we use connected naturally through Google Workspace, Google Drive, Docs, Sheets, and Calendar. Instead of continuing to work around those connections, it made sense to move our core system closer to where so much of our actual work was already happening.

That really goes back to something we’ve talked about before: the best technology for real estate agents isn’t necessarily the brokerage with the longest list of tools. It’s technology people actually use, and technology that makes their work easier.

What Changed in the First Week

We’re still early in the transition, so I’m not going to pretend we’ve learned everything there is to learn about Google Workspace.

But even in the first week, the difference for our setup has been noticeable.

Our agents are able to bring calendars together more easily. Sharing documents and information is cleaner. Some of the connections between our websites and other systems are flowing better. The chat features are working better for the way our team communicates.

And maybe one of my favorite parts—we’ve actually been able to eliminate some things from our tech stack.

That matters.

We’ve written before about choosing real estate technology that reduces friction instead of creating more of it. Sometimes progress means adding something new. Sometimes progress means realizing you don’t need five different things when three things can work together better.

How CrossView Approaches This

For us, this is really about continual improvement.

We’re always looking at what’s working, what isn’t, and where we can make life a little easier for our agents in Jacksonville and across Northeast Florida. We don’t want to change technology just for the sake of changing it, but we also don’t want to hold onto a system simply because it’s familiar.

Better-connected systems can also give us a better foundation for support and coaching, which is something we recently talked about in why better systems can lead to better real estate agent coaching.

This Google Workspace move feels like another step in the right direction.

Not some giant dramatic reinvention. Just one more decision to simplify what we do, connect things better, and keep building a brokerage that can adapt as technology continues to change.

If you’re a full-time agent thinking about what you want your next brokerage to look like, technology should be part of that conversation. If you’d like to see how Google Workspace for real estate agents fits into the larger systems and support we provide at CrossView Realty, start with our Request a Meeting form. Frequently Asked Questions

Q: Why did CrossView Realty switch to Google Workspace?

A: We wanted our core technology to work more naturally with the systems our agents and brokerage already use. For our setup, Google Drive, Docs, Sheets, Calendar, chat, and connections with other platforms are giving us a more connected experience. The goal wasn’t to change for the sake of changing—it was to reduce friction and make everyday work easier.

Q: Is Google Workspace better than Microsoft 365 for real estate agents?

A: That depends on the brokerage, the agent, and the other systems being used. We wouldn’t say one platform is automatically the right answer for everybody. For CrossView Realty, Google Workspace for real estate agents fits more naturally with our current technology and the direction we’re heading.

Q: What improvements have CrossView agents noticed so far?

A: We’ve only been fully moved over for about a week, so these are early observations. So far, we’ve seen easier calendar management, simpler document sharing, better chat functionality for our needs, and smoother connections between several of the systems we use. We’ve also been able to remove some technology from our overall stack instead of continuing to add more.

Q: Why should brokerage technology matter when choosing where to work?

A: Technology probably shouldn’t be the only reason you choose a brokerage, but it can have a big effect on your day-to-day experience. If systems don’t communicate well, agents can end up duplicating work, jumping between platforms, and buying their own solutions to fill gaps. It’s worth asking not just what technology a brokerage provides, but how its agents actually use it.
